Responsibilities: |

To maintain an up to date statement of the L.I.N. accounts. |
 |
To ensure that a summary of the cumulative and monthly accounts are made available to all committee members at each committee meeting. |

Such summaries to be distributed by post to those absent from a committee meeting. To draw attention to appropriate committee members of any significant trends re: underspend / overspend in specific areas in a timely period. |
 |
To act as a signatory for L.I.N. cheques. |
 |
To ensure that L.I.N. cheques are distributed to the appropriate recipients in a timely manner.

To advise bank / building society of change of address and change of signatories. To oversee finances of individual committee events (e.g. main function parties) to ensure that such events are economically viable. |

To bank all cheques received and check bank statements.

To ensure that an adequate balance is maintained within the bank account and arrange for transfers to / from building society account as required. |

To prepare Year end accounts and ensure that the accounts are audited prior to the AGM. To prepare proposed budget for the next financial year and seek agreement from the committee prior to the AGM. |

To present a written and verbal report to the AGM on the financial affairs of the Club over the past year and to propose the budget for the following year. |

Responsibilities: |

To write minutes of committee
meetings and distribute to all committee members irrespective of their
attendance. |

To write minutes of Annual
General Meeting and Extraordinary General Meeting. To maintain records of
all minutes of committee meetings and AGMs. |

To receive and send out any
correspondence related to the organisation of the club. To advise L.I.N.
of change of address, contact numbers & email addresses of any of the
committee members and the Club email and web address. |

To act as signatory for L.I.N.
cheques. |

To ensure that due
notification of the L.I.N. AGM is provided and to co-ordinate motions
proposed for the AGM/EGM in accordance with the Constitution.

Responsibilities: |

Maintain the L.I.N. Membership database in accordance with the instructions provided. |

Enter details of those prospectives whose membership application has been approved. |
 |
Update members details upon payment of their annual membership fee, or when advised of change of address, etc. |

Provide current membership number to each Committee Meeting. |
 |
Advise Committee Meeting of those members who have not renewed their membership.

Immediately prior to the monthly bulletin distribution event, prepare and print off renewal and overdue letters for inclusion with the appropriate programme for posting. |

Immediately prior to the monthly
programme distribution, prepare and print off address labels.

Immediately prior to the programme distribution, print out the standard Membership List for distribution to the Chairman, Secretary, Treasurer and Activites Co-Ordinator. |

To retain the computer used for the Membership Database and ensure that a spare ink cartridge is available for the printer and that sufficient paper is available. |

Responsibilities: |

To ensure advertising is entered regularly in the London wide Irish Newspapers. |
 |
To organise production and distribution of cost effective advertising within the London area and ensure that advertising is placed as requested. |
 |
To maintain a list of local contacts who can be used for local advertising. |
 |
Provide current membership number to each Committee Meeting. |
 |
To seek alternative means of advertising throughout the London area.

Recruitment Officer |

Responsibilities: |
 |
To act as an initial contact and
representative of the club for prospective members. This includes obtaining
contact details from both the LIN answer phone and email. |
 |
Send an Introduction letter, sample programme, Application Form along with the Information Sheet providing information on joining, fees, etc. |
 |
Compile and maintain records of all prospective applications on a month by month basis, passing copies of this information to the Membership Secretary. |
 |
Highlight in the records those prospective that have been accepted as full members of the club and those whose membership application has been rejected and pass to the Membership Secretary in order to create statistics on enquiries. |
 |
Attend monthly L.I.N. Committee Meetings and report on the current new members situation to enable an assessment of the advertising effectiveness to be made.

Ensure that a New Member’s night is organised at least once a month and entered in the programme. |
 |
Ensure that those prospective who have been approved for membership have been sent the current Programme since programmes will not be sent out until the next distribution posting. |
 |
Ensure that each Committee Member has an up to date copy of the Information Sheet that is sent out to each prospective member. |
Programme Co-Ordinator |

Responsibilities: |
 |
To ensure a diverse range of events are available for club members with sufficient events for each calender month. |
 |
To ensure that all weekends have event coverage & that there is one New Members Evenings per month. |
 |
To avoid event clashes, e.g. Similar events in close proximity on the same day. |
 |
To present a summary of events at each committee meeting for the next month requiring committee attendance such that adequate attendance can be assured. |
 |
To decide dates for programme distribution in advance so that members will receive their programmes in advance of the beginning of the next month. |
 |
To ensure that all information on each event is present and correct, e.g. date, location, starting time & telephone number. |
 |
To chase members for event details to ensure that all the events are in a suitable state prior to programme typing. |
 |
To retain a sample programme for future reference and maintain an archive of such programmes. |
 |
To retain original programmes lists when returned from the printer. |
Major Events Organiser |

Responsibilities: |
 |
To ensure that the St. Patrick’s Day, Summer and Christmas Parties are organised each year. |
 |
To locate within the London area suitable venues for such parties. |
 |
To produce major event flyers and reservation forms for each event. |
 |
To give advance notice of the event (at least 1 month) in the programme. To ensure the membership receives a reservation form prior to the event. |

To obtain a list of all prospectives members and non-renewal’s from the Membership Secretary and send to them reservation forms. |
 |
To forward contact details of any guests or prospective members to the Recruitment Secretary. |
